ALBA HOSTS THE FIRST EUROPEAN USER OFFICE MEETING

This first discussion forum of European User Offices has been held on November 3rd and 4th at the ALBA Synchrotron. The aim was to discuss about different topics related to the User Offices, to exchange experiences and knowledge and to share common worries.

Organised by the head of ALBA's User Office, Inmaculada Ramos, the event gathered 40 attendees from different European synchrotrons (Switzerland, Germany, United Kingdom, France, Italy, Sweden and Spain). All of them were able to participate in roundtables to debate about the evaluation of scientific proposals, user access procedures, European projects, access funding, non-standard or fast access modes (for example, cross facility or experiments with remote access), and the technology behind user office portals.

User Offices play a key role in large scale synchrotron, FELS (Free Electron Lasers) and neutron or muon sources, managing different aspects such as the call for access, evaluations and scientific reports. The process can be rather complex as it includes coordination with a review committee (composed by international scientific experts), the responsibles of the technical instruments and the Safety and Health division. In addition, User Offices' portals require continuous maintenance and improvement.

Nowadays, European projects between facilities, like for example PaNData, Calipso, NMI3, Biostruct-X or EuroFEL, seem to look for a common workflow and procedure at User Offices to enable facilities to collaborate among themselves. However, a real exchange of experiences between members of the European User Offices was missing. This first meeting in ALBA was the opportunity to put in common all this knowledge concerning current and future developments.
